The problem: an agency running on a patchwork of tools
Most agencies run on a stack of software rather than a system. Apexure, a landing page and conversion agency, was no different: HubSpot held the CRM, spreadsheets tracked projects and finances, and separate tools handled tasks, time, and email. Every piece did its job. None of them talked to each other.
That is the quiet tax of renting your operations. Data lived in five places, nothing reconciled cleanly, the monthly bill crept up with every new tool and seat, and not one of those tools was built for how an agency actually works. So we built one that was.
What we built: one operating system for the whole agency
Apexure OS, or AOS, is a modular operating system that runs the entire agency from one login. Each module is its own application, but they share the same data, design, and permissions, so the CRM knows about the projects, the projects know about the finances, and nothing has to be copied between tools.
The modules cover the real shape of agency work:
- CRM: contacts, companies, deals, pipelines, and email sequences, the front door for new business.
- Projects: retainers, budgets, multi-currency invoicing wired to Xero, and the different project types an agency actually runs.
- Mission Control: task pipelines for design, development, and QA, with proper handoffs and account-manager review gates so work does not fall through the cracks.
- Financials and Boardroom: revenue and customer lifecycle, budgets, team capacity, and executive views like liquidity forecasting, the numbers a founder actually needs.
- HR, Success, and a client portal: shareable links that let clients see their project progress without an email chain.
It is one system with role-based access, not five subscriptions bolted together.
AI built in, not bolted on
The AI is not a chat box in the corner. It runs through the system where it is useful. Sales IQ pulls together intelligence on a prospect so a salesperson does not spend an afternoon on tabs. Nurture IQ helps keep leads warm. Knowledge IQ is a searchable knowledge base the whole team can query in plain language. Invoices even get classified automatically.
There is also a full automation builder, a Zapier-style canvas for internal workflows, so the agency can wire up its own multi-step automations without paying for yet another tool. And it exposes an MCP server, which means Claude can read and act inside the system directly, not just answer questions about it.
How it was built: with Claude
This is the part that matters if you are weighing custom software for your own business. AOS is not a prototype. It is a real production system: a React and TypeScript front end, a Node and Postgres back end, and live integrations with Xero, Slack, Resend, and Calendly. A few years ago, building it would have meant a team of engineers and a very long timeline.
We built it with Claude. The judgement stayed human, the data model, the financial logic, who is allowed to see what, because that is where experience earns its keep. Claude compressed the part that used to take the most time: writing the code. It is the same approach we use to build a CRM or business apps, carried all the way to a system that runs a company.
What it changed for the agency
The immediate win was the bill. Replacing the stack of subscriptions with one owned system cut Apexure's software costs by about $2,000 a month. But the bigger change was operational: one place for the whole agency, numbers that reconcile, and a tool shaped around the way the team actually works rather than the other way round.
The part that does not show up on an invoice is ownership. Apexure is not renting its operations any more. When the agency needs a new report or a new workflow, it gets built into the system, not requested from a vendor and waited on.
